How We Find and Fix Your Patient Acquisition Gaps
Strong Media Marketing is a patient-acquisition-systems company for independent health and wellness practices. The Patient Acquisition Pathway is the patient acquisition process we use to evaluate every practice we work with – six connected stages, followed in order, so nothing gets missed and nothing gets fixed twice.
The Patient Acquisition Pathway
The Six Stages of Our Patient Acquisition Process
Every practice we evaluate gets looked at across the same six stages – in order, so a gap at one stage isn’t mistaken for a gap somewhere else.
Discover
Before anything else, can the right prospective patients actually find your practice? We look at how you show up in Google search, local map results, relevant content, and increasingly, AI-powered discovery tools like ChatGPT and AI Overviews. A gap here means you’re invisible to people who are already looking for what you offer.
Trust
Once someone finds you, does what they see give them a reason to keep considering you? We evaluate your website, reviews, and content for relevance, credibility, and differentiation. A gap here means visitors land on your site and leave unconvinced – they found you, but you didn’t earn the next step.
Act
Is the next step obvious, useful, and easy? We look at your calls to action, forms, phone visibility, and overall conversion path. A gap here means real interest is dying on the page – someone wanted to act, but the path wasn’t clear enough.
Follow Up
What happens after someone calls, submits a form, or doesn’t book right away? We examine your response time, follow-up sequences, and how – or whether – you recover people who go quiet. This is often the most expensive gap: a real inquiry that never gets a fast or persistent enough response.
Book
Are qualified prospective patients actually converting to appointments without unnecessary friction? We look at your scheduling process, staff workload, and where booking intent stalls out. A gap here means the demand exists, but the last step is harder than it needs to be.
Grow
Can you see what’s working, strengthen your reputation, and improve the system over time? We look at measurement, reviews, and reactivation of past opportunities. A gap here means you’re spending on acquisition without a clear read on what’s actually producing appointments.
The Constraint Comes Before the Tactic
Most marketing conversations start with a tactic – run more ads, post more content, redesign the website. We start differently. Two practices can share the exact same growth goal and need completely different solutions: one has a visibility problem, another a conversion problem, another a follow-up problem.
Selling a tactic before identifying the constraint is how practices end up paying for services that were never going to fix the actual issue. Every stage of our patient acquisition process exists to find that constraint before we recommend anything.
How An Engagement Actually Starts
Four steps, in order – no pressure, no sales pitch until we’ve actually earned it.
Assess
We start with a Growth Assessment Call – a direct conversation covering all six stages of the Pathway. It gives us, and you, an initial read on where things stand.
Diagnose
For practices that look like a strong fit, we go deeper – reviewing your website, current marketing, booking process, and available data to identify the highest-priority gaps specifically.
Prioritize
We tell you plainly what we’d address first, what can wait, and what we wouldn’t recommend spending money on yet. Some practices realize at this point they don’t need us for everything – that’s fine.
Decide
If we’re the right fit, we discuss what an engagement would actually look like – scope, timeline, investment. If not, you still leave with a clear, honest picture of where to focus.
Questions About How We Work
Do you use AI?
Yes, where it solves a useful business problem – that may include discovery, workflow automation, communication support, or analysis. We don’t recommend AI simply because it’s new, and it’s not a substitute for the diagnostic work itself.
What if our staff is already busy?
That’s often an important part of the diagnosis. A system that creates more administrative burden without considering your team’s capacity just trades one problem for another – so staff workload is something we look at directly, not an afterthought.
Will this work with our existing systems?
That depends on what you’re already using. Part of the assessment is understanding your current technology and workflows before recommending replacement, integration, or anything additional – we don’t assume a rip-and-replace by default.
How is AI visibility different from SEO?
Traditional search visibility still matters. AI-powered tools pull from multiple sources to understand entities, answer questions, and surface recommendations in different ways than a ranked list of links does. We treat both as parts of modern discoverability rather than competing disciplines.
